ESTABLISHMENT OF REGIONAL GROUPS

TERMS OF REFERENCE

 GENERAL

Tour Guides Australia may establish Regional Groups for designated geographic regions to ensure that  Tour Guides Australia members within the region receive localised  professional development and networking opportunities. 


Each Regional Group will be led by a Regional  Convenor.  The Regional Convenor must be a member of TGA.  


A Regional Convenor may decide to establish a Regional Committee to support them.  All committee members must be members of TGA.  


The Regional Convenor becomes a member of the Member Engagement Subcommittee and must participate in subcommittee meetings wherever possible.


DETERMINATION OF REGIONS

The Management Committee will determine the geographic boundaries of each Regional Group and may vary these boundaries or create new Regional Groups from time to time as required


APPOINTMENT

A Regional Convenor will be appointed by the Regional Committee (where it exists), or otherwise by the TGA Executive.

REGIONAL CONVENOR RESPONSIBILITIES 


The Regional Convenor has the responsibility to coordinate the following activities: 

  1. Lead the development of the professional development program within the Region, including famils, guest speakers, and networking events.  

  2. Prepare a budget for all events for approval by the Chair, Member Engagement Subcommittee prior to being advertised to members

  3. Manage all approved events, including development of promotional material for circulation to members via email, newsletter, FB members page, website and Eventbrite, liaison with venues and speakers, and oversight at the event where appropriate, 

  4. Preparation of Regional Group Activity Reports for the Member Engagement Committee quarterly

  5. Preparation of articles for the TGA Newsletter on all events

  6. Liaison with Member Engagement sub-committee and Convenors of other Regional Groups, as required 

  7. Delegation of responsibilities, as required. 


If a Regional Committee is established, the Regional Convenor is responsible for:

  1. Overseeing meeting management including scheduling meetings and notify committee members, and preparation and distribution of meeting minutes and agendas; 

  2. Ensuring that the agenda for an upcoming meeting is distributed at least 5 working days prior to the meeting being held

  3. ensuring that the minutes for Regional Committee meetings are distributed within 15 working days of a meeting being held..

  4. Ensuring records relating to Regional Group activities are stored and available when required

  5. Induction of new members into the Committee


Conduct of Regional Committee Meetings

  1. Where established, a Regional Committees will meet at a minimum of three times per year or at other times determined by the Convenor. 

  2. Meetings will take place either face to face, by teleconference or by videoconference, 

  3. Meetings will be chaired by the Convenor or a member delegated by the Convenor. 

  4. Additional persons may be invited to attend the meetings at the request of the Convenor on behalf of the Regional Committee to provide advice and assistance where necessary. They have no voting rights and may be requested to leave the meeting at any time by the Convenor.
